Privacy and Use Policy

1. Introduction
Welcome to the website of Lunar Telephone Company (“Company,” “we,” or “us”). This Policy covers our website, our web applications, and our mobile applications, together the "Services." By accessing or using any of them, you agree to the following terms. If you do not agree, please discontinue use immediately.
Some of our Services are private tools for our crew and collaborators. They are reached only with an account that we issue; they are not open to the public and they do not offer account self-registration.
2. Data Collection
Visitors to our websites
Voluntary Submission: We collect personal information (e.g., name, email) that you voluntarily provide via webforms, email, or other direct contact.
Automatic Data: We and certain third parties (like Google Analytics) use cookies or similar technologies to analyze traffic and site performance. This data is used for analytics only, not for targeted advertising.
Account holders in our applications
When we issue you an account, we may hold the information needed to schedule you, pay you, transport you, and record the work:
Account and contact — your name, work email address, and sign-in credentials.
Work records — schedules, shifts, timecard entries, notes, assignments, and the projects you are attached to.
Travel and identity details that you enter yourself — date of birth, sex, passport number, expiration and issuing country, Known Traveler Number, airline, hotel and rental-car loyalty numbers, seating preference, home airport, and any dietary requirements or allergies you choose to record.
Expense and allowance records, such as per diem.
Photographs and video that you capture or upload, along with the time of capture, a location where you have allowed it, and a weather observation for that place and time.
Operational records — sign-in times, the devices used to sign in, and a log of changes made within the applications.
Device permissions. Our mobile applications request access to the camera, the photo library, and location only at the point of use and only for the purposes above. Location is requested only while a capture screen is open and is recorded with the photograph. You may refuse or withdraw any of these permissions at any time in your device's Settings; if you do, we stop collecting that category of data. When you upload an image we re-encode it, which removes the metadata embedded by your camera; we retain only the fields listed above.
Our mobile applications contain no advertising, no analytics, and no third-party tracking software of any kind, and we do not use any device identifier to identify you or your device.
3. Use of Information
Purpose: We use collected data to respond to inquiries, establish or maintain business relationships, and improve our services.
Third-Party Sharing: We may share data with service providers (e.g., hosting or analytics) who help us operate the site or store data. Application data is shared with a provider only where it is needed to deliver what you are using — for example, an airline or hotel when we book travel on your behalf — and we require any such provider to protect it to a standard at least equal to this Policy. We do not sell personal information.
Application data: Information held in our web and mobile applications is used only to run our business - scheduling crew, booking travel, recording hours, documenting a job site, and supporting the people working on it. It is never used for advertising and is never sold or shared for cross-context behavioral advertising.
4. Data Storage and Security
Storage: Website and correspondence data may be stored locally or on cloud-based platforms (e.g., Exchange, Gmail, iCloud, Airtable, Dropbox). Data held in our web and mobile applications is stored on infrastructure operated and controlled by Lunar Telephone Company in the United States.
Access: Access to application data is restricted by account and by role. The most sensitive identity fields are available to the person they describe and to a small number of administrators, and are excluded from our change logs.
Security: While we take reasonable measures to protect your information, no system is 100% secure. We cannot guarantee absolute security.
Notification: If we become aware of a breach of security leading to the unauthorized disclosure of your personal information, we will notify you, and any authority the law requires, without undue delay.
5. International Visitors
If you are accessing our Services from outside the United States, you consent to the processing and storage of your information in the U.S., where data laws may differ from those in your home country.
6. Third-Party Links & Content
Our Services may link to external websites (e.g., social media, collaborators, news articles, or Vimeo). We are not responsible for the content, privacy practices, or accuracy of information on third-party sites.
7. Data Retention and Deletion
Retention. We keep personal information only as long as it serves the purpose it was collected for, or as long as the law requires:
Inquiries sent through the website — while we are in contact and for up to two years afterward.
Employment, timecard, payroll, and expense records — for the period required by federal and California employment and tax law, at least four years.
Travel and identity details, including passport details and loyalty numbers — while you hold an account with us. They are deleted when the account is closed.
Photographs, video, and project records — for the life of the project and our business records of it.
Deletion. To have your personal information deleted, or to opt out of future communications, email missioncontrol@lunartelephone.com. Our applications do not offer account self-registration; accounts are created and closed by us. Closing an account deletes the personal profile attached to it, including all travel and identity details. We may retain records the law requires us to keep, such as payroll and tax records, and project records that do not identify you.
8. Age Restrictions
Our Services are not directed to children, and we do not knowingly collect information from children under 13. Our applications are work tools issued to crew and collaborators and are not intended for, or directed to, anyone under 18. We do not knowingly collect information from children under the minimum age required by the social media platforms linked here; if you are under that age, please do not provide personal information or use those platforms.
9. Intellectual Property
All content within our Services (text, images, video, etc.) is the property of Lunar Telephone Company or its licensors and is protected by intellectual property laws. You are granted a limited, non-exclusive license to view this content. You may not copy, reproduce, distribute, or create derivative works without prior written permission.
10. Disclaimer
All content and our Services are provided “as is” and “as available.” We make no warranties or representations about the accuracy, reliability, completeness of any content, or up-time of this site. We reserve the right to modify or discontinue any part of this site at any time.
11. Limitation of Liability
To the fullest extent permitted by law, Lunar Telephone Company will not be liable for any direct, indirect, incidental, or consequential damages arising from your use of this site or inability to access it, including errors or downtime.
12. Indemnification
You agree to indemnify, defend, and hold harmless Lunar Telephone Company and its affiliates from any claims, liabilities, losses, or expenses (including reasonable attorney fees) resulting from your violation of these terms or your misuse of this site.
13. Governing Law
These terms and any disputes arising from your use of this site are governed by the laws of the State of California, without regard to conflict-of-law principles.
14. Changes to This Policy
We reserve the right to update or revise these terms at any time, without prior notice. Your continued use of the site after changes become effective constitutes acceptance of the updated terms.
